VECTOR LOGISTICS LTD. (a British company, dealing with aviation-related services) – Dubai Office
Office Manager
1) checking out all daily emails and actioning them as required;
2) in charge of online air crew database; administration of the same database like input of amendments, updates etc.;
3) liaising with the online applicants when interest shown from the Clients' side in any of the candidates;
4) putting together and submission of monthly Cheque Reconciliation report to head office in UK (that covered all income and outgoing expenses based on our three corporate bank accounts statements) ;
5) in charge of routine office administrative duties like kitchen and stationery supply, filing etc.;
6) arranged order of the company signboard and ban for the reception;
7) putting together Invoices charged to Clients for the services on the three different projects overseas, keeping records of the same as well as on the relevant funds received;
8) liaise with DAFZA Administration Offices to get the administrative works done, like Trade License renewal (that involved attestation of docs through the British embassy, as well as Ministry of Foreign Affairs), additional phone lines opening/closure, payments for Etisalat and other services bills; visa application; change of Mgr's name on Trade License procedures, etc.;
9) Petty cash expenditure and putting together the reports supported by the relevant receipts, cheques, invoices;
10) did some design and formatting work, like designed and formatted the booklet called Cabin Crew Service Manual (available upon request) that was successfully presented to our Client coming from UK;
11) did some travel arrangements for our Managers;
12) arranged SIM slots at UAE CAE for the pilots (mostly pilots of the Emirates Airlines) that requested our services on JAR License renewal; put together the schedule; coordination of implementation with the pilots and the Instructor (every 3-4 months) . |
